How we handle and protect your information

Last updated: October 17, 2025

Introduction

Look, we get it – privacy policies can be pretty dry reading. But honestly, we think it's important you know what happens with your info when you reach out to us or browse around our site. At Xandra Lven Quinth Architecture, we're committed to keeping your personal data secure and using it responsibly. This policy explains how we collect, use, and protect your information when you interact with our studio.

We're based in Vancouver, BC, Canada, so we follow Canadian privacy laws including PIPEDA (Personal Information Protection and Electronic Documents Act). If something here doesn't make sense or you've got questions, just give us a shout at studio@xandralvenquinth.info.

Information We Collect

Contact Information

When you reach out for a consultation or project inquiry, we'll collect basics like your name, email address, phone number, and sometimes your mailing address if you're sending us physical materials. We might also keep notes from our conversations – stuff like your project goals, timeline, budget range, and site details if you're sharing them with us.

Website Usage Data

Like most websites, ours collects some technical info automatically – things like your IP address, browser type, which pages you visit, and how long you stick around. We use this to understand how people use our site and to improve the experience. We're not tracking every little thing you do though, we're architects not surveillance experts.

Project Documentation

If we're working together on a project, we'll naturally collect and store documents related to that work – site photos, design preferences, meeting notes, contracts, and any other materials relevant to creating your space. This stuff is essential to doing our job well.

How We Use Your Information

We're pretty straightforward about this. We use your info to:

  • Respond to your inquiries and provide the services you've asked for
  • Communicate about ongoing projects, meetings, and design development
  • Process contracts and handle billing (nobody's favorite part, but necessary)
  • Send occasional updates about our studio – new projects, sustainability initiatives, or relevant industry stuff (you can opt out anytime)
  • Improve our website and services based on how people actually use them
  • Comply with legal obligations and professional standards in architecture practice

We won't sell your information to third parties or use it for anything outside the scope of our professional relationship. That's just not how we roll.

Information Sharing and Disclosure

Generally speaking, your info stays with us. But there are a few situations where we might need to share it:

Project Collaborators

On larger projects, we work with engineers, contractors, and other specialists. We'll share relevant project information with these folks, but only what's necessary to get the work done properly.

Service Providers

We use some third-party services to run our business – things like email hosting, cloud storage, accounting software, and website hosting. These providers might have access to your data, but they're bound by their own privacy policies and we pick vendors who take security seriously.

Legal Requirements

If we're legally required to disclose information – like in response to a court order or to comply with building regulations – we'll do that. We'd also share info if necessary to protect our rights or someone's safety, though that's pretty rare in our line of work.

Data Security

We take reasonable precautions to protect your information from unauthorized access, alteration, or destruction. Our systems use encryption for data transmission, we maintain secure backups, and we limit access to personal information to only those team members who need it to do their jobs.

That said, no system is 100% secure. We do our best, but we can't guarantee absolute security. If you're sending us sensitive information, consider using encrypted email or calling us directly at (604) 555-2847.

Cookies and Tracking Technologies

Our website uses cookies – small text files stored on your device – to remember your preferences and understand how you use the site. Most browsers let you control cookies through their settings. You can choose to refuse cookies, though some features of our site might not work as smoothly if you do.

We don't use aggressive tracking or advertising cookies. The cookies we do use are mainly functional – keeping you logged in if we add a client portal, remembering your preferences, and basic analytics to see which pages are popular.

Data Retention

We keep your information for as long as it's needed to provide services and fulfill the purposes outlined in this policy. For project clients, that typically means we'll retain your information for the duration of the project plus several years afterward – partly for warranty purposes, partly for portfolio documentation (with your permission), and partly because architectural practices are required to maintain project records for a certain period.

If you've just inquired about services but didn't move forward with a project, we'll keep your contact info for a reasonable time in case you change your mind, then delete it. You can always ask us to delete your information sooner by sending a request to our studio email.

Your Rights and Choices

Under Canadian privacy law, you've got several rights regarding your personal information:

  • Access: You can ask us what personal information we have about you
  • Correction: If something's wrong or outdated, let us know and we'll fix it
  • Deletion: You can request that we delete your information (subject to legal requirements for record-keeping)
  • Opt-out: You can unsubscribe from marketing emails anytime – there's a link at the bottom of each message
  • Portability: You can request a copy of your information in a usable format

To exercise any of these rights, just reach out to us at studio@xandralvenquinth.info. We'll respond within a reasonable timeframe, usually within 30 days.

Third-Party Links

Our website might link to other sites – manufacturers we like, sustainability organizations, or projects we've collaborated on. We're not responsible for the privacy practices of those sites. When you click through to another site, their privacy policy applies, not ours. Always good to read those if you're concerned about your data.

Children's Privacy

Our services aren't directed at children under 13, and we don't knowingly collect information from kids. If you're a parent and think your child has provided us with personal information, please contact us and we'll delete it promptly.

Changes to This Policy

We might update this privacy policy from time to time to reflect changes in our practices or legal requirements. When we do, we'll update the "Last updated" date at the top of this page. If there are significant changes, we'll let you know via email or a notice on our website. It's worth checking back occasionally to see if anything's changed.

Contact Us

If you've got questions, concerns, or complaints about this privacy policy or how we handle your information, we want to hear from you. Seriously – if something's unclear or you're not comfortable with how we're doing things, let's talk about it.
